Setup Email Forwarding
Simply put, it allow Chronicle to handle all of the emails (incoming and outgoing) to a given email address, but forwards received emails to another email address outside of Chronicle. When those received emails are replied to, they go back through Chronicle and are associated with the same job that the original email was associated to. This is frequently the simplest and fastest way to construct a Chronicle integration.
There are limitations to this, however, too—though it associates emails with jobs automatically, if a person is not inside of Chronicle already, the email will simply “pass through” chronicle. The email, when responded to, will go directly back to the original sender, avoiding Chronicle all together. Further, when emails are sent directly from the secondary email client (that is, the one that is not Chronicle), they do not pass through Chronicle at all, either.
To setup a system like this, you may either:
- Setup an account with Tierra.net to handle your domain and have Exchange handle a subdomain.
- Have Exchange handle your domain, and create a catchall-box within Exchange to manage Chronicle mail
Forwarding through Tierra.net
- Follow the instructions available here.
- Configure a new Domain or Subdomain for Exchange to use.
- Setup new emails for your users on this subdomain. This is what outlook and your phones will pull from.
- For instance, Alice@YourDomain.com will become Alice@New.YourDomain.com
- In the Chronicle Person, Click Add/Edit under Phone, Fax & Email
- Add your Chronicle Aliases as an email to the corresponding person
- In this case, this will be Alice@YourDomain.com, Bob@YourDomain.com and Charlie@YourDomain.com
- When adding emails, under the option, “Forward Messages To”, type your new email address in the box for every email address associated with the person.
- Remember, your new email address is something like Alice@New.YourDomain.com
- Setup outlook to pull from your new domain addresses.
Forwarding through Exchange
- Follow instructions on this page under “General Setup”—changing your original emails up as aliases, and your new emails as the actual email boxes.
- This means that Alice@YourDomain.com will become ChronicleAlice@YourDomain.com, and Alice@YourDomain.com will be an alias for Chronicle@YourDomain.com
- In the Chronicle Person, Click Add/Edit under Phone, Fax & Email
- Add your Chronicle Aliases as an email to the corresponding person
-
- In this case, this will be Alice@YourDomain.com, Bob@YourDomain.com and Charlie@YourDomain.com
-
- When adding emails, under the option, “Forward Messages To”, type your new email address in the box for every email address associated with the person.
- Remember, your new email address is something like ChronicleAlice@YourDomain.com.
- Setup outlook to pull from your new email addresses.
