Chronicle is meant to be a read only view of your QB file and all accounting is done soley in QB. All customers and jobs will start in Chronicle and be pushed to QB. The Chronicle will pick up financials from QB for linked jobs and display that information back in Chronicle.
Chronicle To QuickBooks
When you add jobs in Chronicle, Chronicle adds the customer to QuickBooks if the customer isn’t already there. If the customer is already in QuickBooks, Chronicle adds a new job for the existing customer. Information that transfers from Chronicle to QuickBooks:
- customer name
- customer address (usually the job site address)
- customer email
- customer phone
- job number
- job description
If you have to manually enter a customer/job into QB because the bridge is not working, use this format so that manual linking is easier to do later:
John Doe - (customer # should be entered here)
21345-Job
- To find a residential customer # go to the person file > IDs > person ID field, Use that number after the customers name.
- To find a commercial customer # open the commercial customer file . click on the file anywhere > hold down the crl key and then click F10. This will then show you the commercial customer's Id#.
QuickBooks To Chronicle
For jobs that were initially pushed from Chronicle, there is an internal link and each night Chronicle will pick up any new or modified transactions when the bridge is scheduled to run. Information that transfers from QB to Chronicle:
- Chart of accounts
- Item list
- Class list
- Invoices
- Credit Memos
- Bills
- Checks (If you want a bridge to ignore checks you must put either the word REFUND or IGNORE or TEMP LABOR in the memo field of the check.)
- Credit Card Charges
- Credit Card Credits
- Vendor Credits
- Received Payments
- Time tracking
