Whenever you add an organization in Chronicle, Chronicle asks for the category of the organization. Working with organizational categories in Chronicle lets you find specific types of information easily. For example, suppose you contract out the plumbing, masonry, and electrical aspects of your jobs. You might create a Trades or subcontractor category for these organizations, and then within that create several sub-categories: plumbing, electrical, etc. Then, once you've entered your organizations in these categories, you can quickly find any type of information. For example, if you needed a plumber for a job, you would just list your organizations and limit the list to the Trades category and the plumbing subcategory. You would then have a list of the appropriate organizations. Similarly, you might want to add categories and subcategories for other types of organizations that you deal with, for example, insurance companies, etc.
When you first install Chronicle, it has these organization categories:
Category |
Subcategory |
Notes |
Association |
Association |
We use Association as a catch-all for any organization that we don’t know quite how to categorize. |
Customer |
Customer |
If you need to add a job for an organization, that organization must be marked as a Customer. |
Insurance Agency |
Insurance Agency |
Use Insurance Agency for local agencies. Use Insurance Company for adjustors (typically in the main office). Local agents and adjustors are marketed differently, so it’s important to distinguish between them. |
Insurance Company |
Insurance Company |
|
Personal |
Personal |
Only you can see people and organizations that you categorize as Personal; others can’t view your personal contacts. For example, suppose you volunteered for a local charity. You would enter that organization in the personal category, and then that organization would be listed for you but not for others. |
Subcontractor |
Appliance Repair Art Restoration Carpentry Computer Repair Dry Cleaning Drywall Electrical Electronics Repair Flooring Framing Furniture Restoration General Painting Plumbing Roofing |
For organizations that provide a number of subcontracting services, choose General here, and when you add people associated with those organizations, use Chronicle’s skill manager to track which people provide which services. Since there are many types of subcontracting services, you may need to add additional subcategories and/or remove those that you don’t use. |
Vendor |
Accounting/Tax Services Automotive Communications Computer-Hardware Computer-Software Equipment Financial Services Legal Services Product/Supplies Printing/Copying |
Vendor is used for any type of business that you buy products or services from. There are many types of Vendors you could deal with, so you may need to add additional subcategories and/or remove those that you don’t use. |
