Multi-selecting activities: Most actions for activities can be done for multiple activities at once. To multi-select, click one activity. To select another activity, hold the ctrl key down and click another activity. To select another activity and all activities in between that activity and the first one you clicked, hold the shift key down and click another activity.
Adding Additional Activities: Click the Add Activities button, and then pick the department to add activities for. If the department has multiple templates, on the add screen you can pick any template, or you can pick All to list all activities and subactivities for the department regardless of whether they are in a template.
Updating the Status of Activities (Pending/Active/Complete): Select the activity or activities to change the status of and do any of the following:
- drag the selected activity to the column you want it to be in
- right-click any selected activity, and pick the new status from the right-click menu
- click one of the blue arrow buttons.
Seeing More Detail about an Activity: Select a single activity. You’ll see detail about that activity at the bottom of the screen.
Limiting the Display to a Single Department’s Activities: Initially this screen shows all of the job’s activities for all departments. If the job has multiple departments, you can limit the display to a single department’s activities by doing any of the following:
- double-click the department name in the list of departments
- double-click the activity cell in the list of departments
- click the drop-down by Activities for and pick the department you want. (This entry also lets you switch back to the All Departments view.)
Changing an Activity’s Start, Due, or Completion Date: Select a single activity, and then click the date to change at the bottom of the screen.
Scheduling an Activity on the Calendar: Click the Schedule button, or pick Schedule on Calendar from the right-click menu.
Adding a Note to the Journal about a Specific Activity: Right-click the activity, and pick Add Quick Journal. Chronicle will automatically associate the activity name and put the activity name in the journal title.
Terminating/Deleting Activities: Delete an activity if it should never have been on this job; terminate the activity if it was supposed to be there and then someone cancelled it. For example, if you add carpet cleaning to a job and then realize the job doesn’t have carpet, delete the activity: it never should have been added. on the other hand, if a customer calls and says he changed his mind and wants to clean the carpet himself, terminate that activity: it was originally supposed to be there and then was cancelled.
If you terminate one or more activities for a department, you’re asked for a reason for the termination. If you terminate additional activities for this job on the same day, we assume the reason is the same, so we don’t ask for a reason again. The reason is recorded in the job’s journal.
