You do not need to add any information here to begin using Chronicle. When you are ready to integrate QuickBooks with Chronicle, you will work with a bridge technician who will help with these setting. You will also receive training on how to make changes here. Here is a quick overview of what these settings are:
Labor Import buttons: For a description of how to set up the QB labor import read the article for pulling labor records from QuickBooks.
QuickBooks Settings Each department in Chronicle is to be linked to a single QuickBooks Data File and this setting tells Chronicle what the name of the data file is. The bridge takes over from there and knows where to look to find the file to bridge to. If you own two businesses each with its own QB data file, you can create departments that match the type of work each business does and link the departments to their respective QB data file.
QuickBooks Classes Linked to this Department. Classes in QuickBooks is how QuickBooks categorizes things, if you will sorts things. Three things that Chronicle links to in QuickBooks are invoices, bills and labor records. Each invoice will have a class for the entire invoice; each line item on a bill will have a class; and each labor record will have a class. We then link each Chronicle department to one or more classes in QuickBooks. These classes must be unique to the type of departments you set up in Chronicle. In other words, a class in QuickBooks can not be linked to more than one department but a department could have more than one class in QuickBooks that is related to the type of work the department does.
If Linked to 2 QuickBooks Data Files. If you are running say a disaster restoration company and a construction company out of Chronicle and each of them has it own Quickbooks data file and the various departments are linked to their respective files and you are creating invoices, then you will also need to identify the Invoice Suffix here.
If Chronicle Data is Submitted to a Parent Org. If your business reports to a larger regional or national organization that analyzes departmental activity across multiple businesses, this lets you indicate what your regional office's Name for this Dept is. This entry does not apply to most Chronicle users; you only need to fill something in here if you are told to by a parent company.
Map Chart of Account Cost Types. From this screen you can map QuickBook expense items in the Chart of Accounts with line item detail found on payables that you have entered in Quickbooks. This does not change how you use Quickbooks but rather you are linking information in Chronicle to the Chart of Accounts.
There is some additional setup if you want to link Chronicle to QuickBooks and if you want to use Chronicle for job costing and budgeting.
