You first have to decide how you want to get the labor into QuickBooks. You can enter it manually or one popular way of doing so is by syncing QuickBooks with TSheets. You can get information and pricing from their website.
The Job flow using TSheets would look something like this:
All jobs must start in Chronicle and push to Quickbooks for this to work. In addition, Chronicle can import labor from only one QuickBooks file and to do so, you must be integrated with QB. Some setup is required and that can be found in the Main System Setup> Departments tab> QuickBooks Links sub-tab> buttons on the right> using the following order set these things up:
Set QuickBooks Labor Import for all Departments: For each department, you must set start date and either the stop date or select import indefinitely in order for Chronicle to pull labor from QB. Once this date is set, Chronicle will not let you enter labor any other way for that department. So plan to enter manual labor the day before and let the programs do so from this date on out.
QB Classes to Depts: Since all the QB classes are listed for you, each one can be mapped or linked to a department. A class cannot be linked to two different departments but a single department can have more than one class in the list.
Employees: In QB, your accountant will have entered all employees for payroll purposes using their legal name. These names will now be listed in Chronicle but you must map or link each employee with the one entered in Chronicle. It is ok that the name in Chronicle may be spelled differently, you do not have to change the Chronicle spelling, just link them. You may have more employees in QB than you do in Chronicle, that is ok just leave them blank.
Pay Types: Since Chronicle job costing is only based on hourly labor, Chronicle can only import hourly QB labor. When you set up your labor in QB, you created various pay types and decide whether they are hourly or salaried, you need only map or link the hourly labor pay types to Chronicle. So any employees set up as salaried in QB their labor records cannot be imported into Chronicle. To map hourly pay types simply select the drop down and set it to regular, overtime, doubletime, or bonus. If you leave it blank these pay types will not be imported.
Chart of Accounts Cost Types: You are not yet able to import this from QB.
Once these settings are in place, you can set a date for Chronicle to start pulling labor records from QuickBooks!
